#  Community Sponsorship 

 

 

 

 

 

 

 

 

 

 

 #### What the MAIB sponsors

The MAIB sponsors Tasmanian not-for-profit organisations and businesses with similar vision, values or objectives to our own.

Sponsorship activities must have clear deliverables for both the recipients and for the MAIB, may also have specific commercial benefits and must fit within our budget constraints.

The MAIB will consider sponsorship requests for activities that have a positive impact for Tasmanians either by region, statewide or a particular demographic, such as:

- **Skills, education and training** programs in science, health, technology, engineering and maths that can contribute to road safety and/or improve medical outcomes;
- **Diversity, equity and inclusion** addressing societal and financial barriers that break cycles of disadvantage and inequality;
- **Community events and activities** that encourage connection, improve outcomes for the area or demographic and provide an economic or social boost.

#### What MAIB will not sponsor

We will not sponsor:

- Individuals
- Political or religious groups
- Interstate travel or tours
- Activities that provide direct financial benefit to MAIB employees
- Events or activities that are able to source sufficient funding elsewhere.

### Sponsorship requirements

#### Definitions and scope

This Framework applies to all sponsorship arrangements entered into by the MAIB, including cash sponsorships, in-kind support, and multi-year arrangements. It does not apply to procurement activities, donations, grants administered under separate programs (such as the MAIB’s legislated Injury Prevention and Management Foundation), or statutory payments.

#### Risk and compliance

Conflicts of interest, actual, potential or perceived conflicts, must be declared and appropriately managed. MAIB may decline or terminate a sponsorship where a conflict cannot be managed.

MAIB will undertake proportionate checks prior to approval (for example, legal status, ABN/ACN, governance, capability to deliver, and any relevant insurances).

MAIB will consider safety, integrity and reputational impacts, including alignment with MAIB values and any adverse media or conduct issues.

Information will be handled in accordance with applicable privacy and recordkeeping requirements.

MAIB may suspend payments, require repayment, or terminate an arrangement where deliverables are not met or where conduct or circumstances create unacceptable risk.

#### Transparency and publication

MAIB will meet all applicable sponsorship disclosure requirements. As a minimum, MAIB will publish this Framework on its website and will disclose sponsorship arrangements in its Annual Report in accordance with relevant Treasurer’s Instructions and guidance. Public disclosures will include:

- the sponsorship partner;
- a description of the sponsorship arrangement;
- the benefits of the sponsorship arrangement;
- details of any benefits received as part of the sponsorship arrangement provided to employees or other related parties, including event tickets or corporate hospitality;
- the period of the sponsorship in the relevant financial year;
- details of any other Tasmanian Government related sponsorship;
- the amount paid or estimated in-kind contribution; and
- the total value of all sponsorships in that financial year.

#### Sponsorship agreements and payments

All sponsorships must be documented in a written agreement prior to payment or delivery of in-kind support.

Agreements must specify, at a minimum: sponsorship value (cash and/or in-kind), term, deliverables and benefits, branding/approval requirements, reporting and acquittal requirements, and termination/repayment provisions.

Agreements could be a template supplied by the requesting organisation, by MAIB or an exchange of letters.

Payments will be structured to reflect value and risk (for example, milestone-based payments) and are contingent on meeting agreement terms and providing evidence of deliverables where required.

When the MAIB agrees to support an organisation, it will be required they:

- sign an agreement that specifies the benefits and deliverables of the sponsorship;
- display our brand and/or messaging in their marketing, signage, website etc. in accordance with our requirements and that of the agreement;
- provide us with a timeline of activities related to the event, specifying promotional opportunities and any required of us.
- report the benefits and deliverables of the sponsorship agreed;
- alert us of any conflict of interest or negative publicity that may have an impact on MAIB
- strive to uphold MAIB’s values of commitment, community and compassion.

#### Assessment

Approvals must be made in accordance with MAIB’s financial delegations and relevant policies and procedures, including Treasurer’s Instructions and Guidelines.

All sponsorship requests will be assessed alongside the MAIB’s Injury Prevention and Management Foundation criteria. This will ensure the work of the Foundation and any sponsorship requests are not competing against each other, and any funding is being used from the appropriate budget.

Sponsorship requests will only be considered if the form is completed.

#### Reconciliation

All funding arrangements will require an event/activity/initiative assessment to be completed. This will allow MAIB to measure the deliverables and help guide future decision-making for future applications.

Acquittal information will be proportionate to the sponsorship value and may include agreed metrics (for example, audience reach, engagement, participation), evidence of branding/acknowledgements, and a short narrative of deliverables and learnings.

Failure to provide acquittal evidence may be considered in assessing future sponsorship requests.
